For the Digital Form at The RDS Dublin Horse Show 2025

This document outlines the Terms and Conditions and Privacy Policy ("Policy") for the use of the digital form provided on an iPad at The RDS Horse Show 2025, held in Dublin, Ireland ("Event"). By completing and submitting the digital form, you agree to these terms and provide personal information for the purposes of entering a raffle, potentially receiving marketing communications from Outshorse and Hopoti, and being connected with a riding school that is a member of Hopoti. This Policy ensures compliance with the General Data Protection Regulation (GDPR) as applicable in Ireland (EU GDPR) and the United Kingdom (UK GDPR).

1. Definitions

• "We," "Us," or "Organisers": Outshorse (Outshorse, The Summer House, Hollybrook, Bray, Co. Wicklow, A98 A895, Ireland) and Hopoti (Hopoti Software Oy, Merikatu 6, FI-26200 Rauma, Finland).
• "You" or "User": The individual completing the digital form.
• "Digital Form": The electronic form provided on an iPad at the Event for raffle entry, marketing opt-ins, and riding school connections.
• "Personal Data": Information such as your name, email, phone number, address, and rider information (e.g., riding experience, preferences) provided via the Digital Form.

2. Purpose of Data Collection

We collect and process your Personal Data for the following purposes:

• Raffle Entry: To enter you into a prize draw conducted at or following the Event, based on the legal basis of performance of a contract (your entry constitutes an agreement to participate in the raffle).
• Riding School Connection: To connect you with an appropriate riding school that is a member of Hopoti, based on rider information provided, using the legal basis of performance of a contract or explicit consent.
• Marketing Communications: To send you optional marketing materials from Outshorse and Hopoti, based on your explicit consent.

3. Personal Data Collected

We collect the following Personal Data via the Digital Form:

• Full name
• Email address
• Phone number
• Address
• Rider information (e.g., riding experience, preferences for riding school connections)

We adhere to the GDPR principle of data minimisation, collecting only the data necessary for the purposes outlined.

4. Data Processing and Sharing

• Data Controllers: Outshorse and Hopoti act as joint controllers for the Personal Data collected. Contact details for both are provided in Section 11.
• Data Sharing:
  • Personal Data may be shared with riding schools that are members of Hopoti to facilitate connections, with such schools bound by GDPR-compliant data processing agreements.
  • Third-party service providers (e.g., IT or cloud storage providers) may process data on our behalf, also under GDPR-compliant agreements.
  • No Personal Data will be transferred outside the European Economic Area (EEA) or UK unless adequate safeguards, such as standard contractual clauses, are in place.
• Data Security: We implement technical and organisational measures, including encryption and access controls, to protect your Personal Data against unauthorised access, loss, or breach, particularly during data collection at the Event.

5. Data Retention

We retain your Personal Data only for as long as necessary:

• Raffle Entry: Until the raffle is concluded and prizes are delivered, typically within 30 days post-Event.
• Riding School Connection: Until a connection is made or for a reasonable period, such as six months, to allow follow-up.
• Marketing Communications: Until you withdraw consent or if consent is inactive for a reasonable period, with regular reviews to purge outdated data.

6. Your GDPR Rights

Under GDPR, you have the following rights regarding your Personal Data:

• Access your data
• Rectify inaccurate data
• Erase your data ("right to be forgotten")
• Restrict processing
• Data portability
• Object to processing
• Withdraw consent at any time (for marketing or riding school connections, where applicable)

To exercise these rights, contact us using the details in Section 11. We will respond within one month, as required by GDPR.

7. Raffle Terms and Conditions

The raffle is organised by Outshorse and Hopoti as a free prize draw, with no purchase necessary to enter. The following terms apply:

• Eligibility: Open to individuals aged 18 or older who are physically present at the Event and submit the Digital Form. Employees of Outshorse, Hopoti, or their affiliates, and their immediate families, are not eligible.
• Entry: Complete and submit the Digital Form during the Event. One entry per person. Multiple entries will be disqualified.
• Prizes: A free riding lesson for two at any Hopoti centre, Hopoti Plus Gift Subscriptions. Prizes are non-transferable, non-exchangeable, and have no cash alternative.
• Winner Selection: Winners will be selected via a random draw conducted by September 1, 2025, supervised by an independent party.
• Notification: Winners will be notified via email or phone within 14 days of the draw. If a winner does not respond within 14 days, an alternative winner may be selected.
• Publicity: By entering, you consent to your name being published as a winner on Outshorse and Hopoti’s websites or social media, unless you object in writing at the time of entry.
• Liability: The Organisers are not liable for any loss, damage, or injury resulting from participation in the raffle or acceptance of prizes, except where prohibited by law. We are not responsible for undeliverable notifications due to incorrect contact details.
• Compliance: The raffle complies with Irish law, including the Gaming and Lotteries Act 1956, as a free promotional draw.

8. Marketing Communications

• Opt-In: By checking the relevant box on the Digital Form, you consent to receive marketing communications from Outshorse and Hopoti, which may include newsletters, promotions, or event updates.
• Opt-Out: You may withdraw consent at any time by clicking the unsubscribe link in any marketing email or contacting us (see Section 11). We will cease marketing communications promptly upon withdrawal.
• Data Use: Marketing data will be used solely for the purposes you consent to and will not be shared with third parties except as necessary for sending communications (e.g., email service providers).

9. Riding School Connections

• By submitting the Digital Form, you request that Hopoti connect you with a suitable riding school based on your rider information. This may involve sharing your Personal Data with a riding school, which will contact you directly to discuss opportunities.
• If you prefer not to be contacted, contact us to opt out (see Section 11).

10. Governing Law

This Policy is governed by the laws of Ireland. Any disputes arising from the Digital Form, raffle, or data processing will be subject to the exclusive jurisdiction of the Irish courts.

12. Additional Terms

• Accuracy: You are responsible for ensuring the accuracy of the Personal Data provided. Incorrect details may result in disqualification from the raffle or inability to contact you.
• Event Changes: The Organisers reserve the right to cancel or modify the raffle or Event due to unforeseen circumstances, with notice provided where possible.
• Acceptance: By submitting the Digital Form, you confirm you have read, understood, and agree to this Policy.
